Holiday Closures and Time Entry Guidelines

Please see the Payroll reminders for November and December 2022


Dear University Employees,

Non-essential employees will be released at 1PM on Wednesday, November 23rd. To assure that every employee enjoys the half-day break, custodial, grounds, and others who work hours outside the normal 8 a.m. - 5 p.m. schedule may be released at the midpoint of their workday or be given compensatory leave at a later date.

Specific guidance is provided below for non-exempt (hourly) employees and supervisors/managers approving their timesheets.

For the following pay period, 11/09/22-11/23/22:

The deadline for time entry (electronic timesheets in myOleMiss) and paper timesheets for the current pay period (11/09/22 – 11/23/22) is 1PM on Monday, November 21, 2022. 

Accordingly, non-exempt (hourly) employees should provide a reasonable estimate for hours to work on November 21st-23rd.  Should the employee end up working a shorter day or overtime on that day, an adjustment can be made and submitted for the next pay period.

For Wednesday, November 23, 2022. all non-exempt (hourly) employees should enter 4 hours as Administrative Leave (JURY line).

For the following pay period, 11/24/22-12/08/22:

The deadline for time entry/approval is 1PM on December 9th, 2022.  Thursday, November 24, 2022, and Friday, November 25, 2022, are official University holidays and all non-exempt (hourly) employees will enter these two days as “holiday” (HLDY line). 

If a non-exempt (hourly) employee works on either holiday, the employee will be paid one-and one-half times their regular rate for hours worked on the holiday. The employee will also receive, at their choice, holiday pay for the day or a floating holiday to be scheduled within the next 30 days.

For the pay period 12/09/22-12/24/22:

The deadline for time entry/approval is 1PM on December 14th, 2022.  The University offices close at 5 p.m. December 20, 2022, and this pay period ends on December 24 so non-exempt (hourly) employees should provide a reasonable estimate for time not yet worked.  Any corrections to estimated time should be made on the January 13, 2023, payroll. 

If you need any days reset to make corrections for a prior pay period, please email payroll@olemiss.edu with your name, employee number, and the day that needs to be reset.
